PLC Taxonomy Administration Guide

The PLC Taxonomy Web Part represents a classification structure developed by the practical law company for your region.  Currently there are two regions supported, the UK and the US, and the taxonomy may be updated by an administrator.  Administrators can also edit the taxonomy to support in-house classification structures and documents.

The PLC Taxonomy Web Part can only be edited in Shared Mode by an administrator.  To add the web part to a web part page, click on Site Actions, Select Edit Page and choose the PLCTaxonomy web part.  Click on the edit label and select Modify Shared Web Part and the settings box shown here will appear.  Before configuring the web part you will need to download one of the taxonomies.  Select the taxonomy required, click the Admin Mode  check box and click Apply followed by OK.   This will show the Edit Taxonomy box below.  Click on the root node of the taxonomy and click Reset followed by Apply.  Open the root node and the taxonomy should be visible.  To go back into user mode, click Modify Shared Web Part again, uncheck the Admin Mode box and click OK, Apply.

To edit the taxonomy, return to the setting screen as before and check Admin Mode, click OK and exit and re-visit the page.

In Admin Mode you can click on any folder or document and you will see the Edit Taxonomy dialog.  From here you can change the name and/or target URL for each document; delete documents or whole folders (which includes children); and add new documents. 

To add a document select the document above the position you wish to add the new document, click Add and add To create a new folder, first add a document with the new folder name, select this document and add a new document with the Add as Child check box selected.  The first document will become a folder and the second document will be in the folder.

If you delete a folder by mistake,  you can select the parent folder and click reset which will download the current PLC folder (the name must be the same as the original).

When the taxonomy is downloaded initially, the web part creates a document library in the parent site called PLCTaxonomy which holds the downloaded taxonomy.  This will remain unchanged other than through editing in Admin Mode.  If you wish to download the latest taxonomy you can use the reset option with the root node selected, or go into the setting and use the Reset Taxonomy as described above.
