Document and Knowledge Management Systems

SyseroKB  Document Assembly & Library Management

Sysero Knowledge Builder allows subject matter experts (SME's) to build libraries of templates and standard texts which can be used to create high quality documents throughout the firm. Working entirely within MS Word, SME's can submit content, create folders, and manage a library of reference texts.  This library can be made available to anyone in the firm to create contracts, sales proposals, official correspondence or any formal document using templates and standard texts.  Documents created using SyseroKB have a unique validate-to-source function which will alert users if a document is based on an old template or contains expired content.

SyseroKB is designed for knowledge workers (lawyers, accountants or anyone who creates documents for a living) to build a library of templates and clauses, and use these to make their document production quicker, more accurate and more complete.  It uses Microsoft's content management system, SharePoint, as the server and uses has some clever storing and searching features too.

Sysero Knowledge Builder enhances the integration between Word and SharePoint to create a knowledge management system capable of supporting hundreds of users. SyseroKB adds a new knowledge management tab to MS Word 2003/2007/2010 that allows users to submit standard paragraphs or entire documents directly into a SharePoint document library. Subject matter experts can create folders, copy and move files, tag documents using custom fields and even create drafting notes to give users instructions on how to use the reference texts. SyseroKB also allows documents to be stored in multiple folders, a feature that SharePoint alone does not provide.

Using SyseroKB, users can find documents by browsing the SharePoint folders or by using text searching. A favourite’s function allows users to save documents, folders and even searches for later use.

Documents are stored as either templates or as blocks of standard text, referred to as clauses. When starting a new document in Word, users can search for a template to get them started and then search for standard texts to add to the document. Using this method, users can create correspondence, contracts, sales proposals and other official documents using pre-approved templates and text.

One of the most powerful knowledge management functions of SyseroKB is the validate-to-source facility. Documents created from SyseroKB templates, or that contain standard paragraphs inserted using SyseroKB, are automatically checked when the document is opened. If the content of the document contains out of date references, the text is compared with the SharePoint version allowing the user to see the changes. User can update their document with the current version with a single click of a button. Validate-to-source can help prevent users sending out documents with out of date information whilst not limiting their creativity.

Word has had the ability to use fields for many years. SyseroKB provides a facility to easily add fields to templates and standard texts. When users create their documents using from SyseroKB content, a questionnaire function can prompt them to complete any fields brought in with templates or standard texts. SyseroKB can be customised for any language with versions currently available in English and Norwegian.

Sysero Knowledge Builder is one of a new breed of applications that lives on the users’ desktop but uses Microsoft’s cloud technology to store data. Users with custom SharePoint environments, or in-house SharePoint, can also use Sysero InfoBank which allows the knowledge documents to be available in a SharePoint portal web part which supports all the features of SyseroKB plus adds the ability to create transactional document packs.
